You will bring structure and momentum to a growing portfolio of more than a dozen annual workshops, conferences, and partner convenings. The focus is strictly on project management, logistics, and production rather than content strategy or programming.

Success requires holding many moving pieces simultaneously while keeping stakeholders informed. You will track individual event details while maintaining visibility across the broader calendar to ensure deadlines are met and dependencies managed.

  • Manage logistics including venue coordination, vendor relations, budgets, and on-site execution
  • Make real-time decisions on scope and resourcing when priorities shift unexpectedly
  • Support junior PMs by providing context and building systems for team autonomy
  • Coordinate dependencies across content, communications, operations, and technical teams
  • Flag capacity issues and timeline conflicts early with clear resolution recommendations

What you'll need

  • 5-8 years of experience managing large-scale or high-complexity events end-to-end
  • Proven ability to manage a high volume of events concurrently without losing detail
  • Experience coordinating remote teams, contributors, and vendors across time zones
  • Strong background in logistics, vendor management, and on-site operations
  • Proficiency with project management tools such as Asana, Coda, or Airtable
  • Clear communicator comfortable writing external emails, internal briefings, and playbooks
  • Willingness to travel for events approximately one trip per month

Nice to have

  • Experience in non-profit, consulting, or private sector environments
  • Scrum or Agile experience, ideally as a Scrum Master or PMP
